Privacy

Australian charities have privacy obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This template covers the common ground; a solicitor with charity-law experience should review before launch.

Who we are

Mudgee Islamic Community Centre (MICC) is a registered charity in Australia, ABN (placeholder). The contact for privacy matters is the secretary of the committee, reached at privacy@micc.org.au (placeholder. Confirm dedicated email.)

What we collect

We collect personal information when you choose to share it with us. This includes:

  • Contact information when you email us, sign up to a newsletter, or fill in a form: name, email, sometimes phone number.
  • Donation information when you give to the centre: name, contact details, amount, date. Donorbox handles card details; we never see them.
  • Volunteer information when you offer your time: name, contact details, a Working with Children Check number where required, and emergency contact.
  • Welfare-support information when you ask for help: only what is necessary to provide that help.
  • Website analytics when you visit our site: anonymised, aggregate page-view data through standard analytics tools. We do not track individuals.

How we use it

We use personal information only for the purpose for which it was given. That means:

  • Replying to your email if you email us.
  • Sending you the newsletter you signed up for.
  • Issuing your donation receipt.
  • Coordinating the volunteer role you signed up for.
  • Providing the welfare support you asked for.

We do not sell personal information. We do not share it with third parties beyond what is needed to provide the service (for example, Donorbox for processing payments, Mailchimp or Buttondown for newsletters).

Welfare-support confidentiality

Welfare-support enquiries stay in strict confidence. Only the welfare lead and the treasurer see the details. The wider committee sees totals only. We never publish or share recipient names without explicit consent.

How long we keep information

  • Donation records. Seven years, as required by Australian Tax Office record-keeping rules for registered charities.
  • Volunteer records. While you are an active volunteer, plus two years.
  • Welfare-support records. Seven years, as required by ATO and audit obligations. The welfare lead holds them in a secure file.
  • Newsletter subscriptions. Until you unsubscribe.
  • Email correspondence. As long as is reasonably needed to manage the relationship.

How to access, correct, or delete your information

Email privacy@micc.org.au and we will reply within 30 days, as required by the Privacy Act. We will:

  • Tell you what information we hold about you.
  • Correct anything that is inaccurate.
  • Delete what we are not legally required to retain.
  • Help you withdraw consent for any specific use.

Cookies and tracking

The website uses minimal cookies, mostly for site functionality (login session, page-view analytics). We do not use advertising cookies. Third-party plugins (Donorbox, Fluent Forms, Mailchimp) may set their own cookies as part of their service; we link to their privacy policies where they apply.

How to complain

To report mishandled personal information, please email privacy@micc.org.au first. We will reply within 14 days.

Not satisfied with our response? You can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We will publish any changes to this policy on this page. Material changes get flagged in the next newsletter and at Friday prayers.
